What we keep, why, for how long, and how to have it removed.
Who we are
BidBefore is run by a small team. For anything about your data, email info@bidbefore.co.uk.
What we keep
- Write-ups of council papers. For each relevant agenda item we keep a short write-up in our own words, its value, stage and dates, and a link to the original. We don't keep the papers themselves. Names of individual people are removed before anything is saved.
- Your organisation's settings: its name, type, sectors, boroughs and contract sizes, so we can show you the right contracts first.
- Contact form messages: your name, email address, organisation and message are sent to our inbox. The website itself keeps no copy.
- Security logs: when someone signs in, is refused, or probes the site, our host (Cloudflare) records the time, the address it came from and the browser, for up to 7 days.
Your profile (name, job title, email) stays in your own browser. We never receive it.
Why we're allowed to
Settings and security logs: our legitimate interest in running the service safely. Contact messages: to reply to you. Write-ups: our legitimate interest in reporting on public council business, with names of individuals removed.
How long we keep it
Write-ups are kept for two years from the meeting they came from. Contact emails are deleted within a year of the conversation ending. Settings last until you ask us to remove them.
Your rights
You can ask to see, correct or delete what we hold about you, or object to how we use it, including a write-up that names you. Email info@bidbefore.co.uk and we'll reply within one month. If you're unhappy with our answer you can complain to the Information Commissioner's Office.
Who else sees it
Cloudflare runs the site and keeps its database in Western Europe. Nothing is sold or shared for advertising, and no other company's code runs on this site.
